SAFARI BOOKING TERMS AND CONDITIONS
Kenya, Tanzania and Uganda Safari bookings
Terms & Conditions:
A 40% deposit of total safari cost for (Kenya only) is required at the time of booking confirmation & balance at least 30 days to the date of safari commencement.
A 50% deposit of total safari cost for (Kenya / Tanzania combined tours) is required at time of booking confirmation & balance at least 30 days to the date of safari commencement.
For safaris including Gorilla Tracking and Chimpanzee trekking in Uganda in the itinerary, a non refundable 60% deposit of the total amount due is payable at the time of booking confirmation with the balance payable at least 60 days to arrival (July, August, September and October) and 30 days to arrival (other months). Most of this amount goes towards purchase of non refundable or transferable Gorilla and Chimp tracking permits, which are limited and sold on a first come, first served basis.
Payment by credit card both online and locally attracts a 5% bank transaction surcharge
Bank / wire transfer payments shall include bank charges payable by the client / sender
Safari cancellation policy:
Any safari deposit paid shall be refunded less the cost of cancellation fees levied by suppliers and administrative costs as stipulated below.
1. 20% of the rate applicable will be charged for packages cancelled or reduced in number:
- For Low season between 35 and 14 days from noon on the date of package commencement.
- For High season between 50 and 45 days from noon on the date of package commencement.
- For Peak season between 60 and 50 days from noon on the date of package commencement
2. 35% of the rate applicable will be charged for packages cancelled or reduced in number:
- For Low season between 14 and 7 days from noon on the date of package commencement.
- For High season between 45 and 20 days from noon on the date of package commencement.
- For Peak season between 50 and 30 days from noon on the date of package commencement.
3. 100% of the rate applicable will be charged for packages cancelled or reduced in number:
- For Low season within 07 days from noon on the date of package commencement.
- For High season within 20 days from noon on the date of package commencement.
- For Peak season within 30 days from noon on the date of package commencement.
Low Season Months: April, May, November.
High Season Months: January, March, June and December.
Peak Season Months: February, July, August, September and October.
Safari package price:
Included are all expenses in respect of vehicle and driver guide as per itinerary, accommodation, meals while on Safari, entrance fees to National parks and game reserves.
Safari transport:
Tour vehicles, Safari Vans, 4×4 WD safari customized jeeps/ land cruisers and coaches will be provided depending on the route and cost paid The company reserves the right to employ the services of sub-contractors in providing ground transportation.
English, French & Spanish speaking drivers/guides are provided on request.
Alteration to tours:
The company reserves the right to alter arrangements or cancel the operation of a scheduled tour should conditions necessitate.
It also reserves the right to decline to accept or retain any person as a member of any tour at anytime, in which case an equitable amount will be refunded.
Tour prices are based on current tariffs and other costs prevailing at the time of printing and are subject to change without notice.
Note: In the event a Government adjusts or institutes a new tax during the duration of this agreement, the company reserves the right to adjust the rates in this agreement accordingly.
Liability:
The company and its agents act only as agents of the tours, transport, accommodation, etc. and shall not be liable for injury, delays, loss or damage in any manner.
The company liability to passengers carried in its own vehicle is governed by the laws of the country in which the tour takes place and no other country.
All claims are subject to the jurisdiction of the courts of the country in which the tour operates.
The company reserves the right to employ subcontractors for all or part of its services.
The company shall not be held responsible for any loss or damages to luggage.
Photography:
During Travel Essenia Safari Experts Ltd, reserves the right to take photographs during the operation of any safari or part thereof and to use resulting photographs for promotional purposes. By confirming a safari with the company, passengers agree to allow their images to be used in such photographs. Passengers who prefer that their images not be used are asked to identify themselves at the beginning of their safari.
Optional Activities that May Be Dangerous:
Depending on your itinerary, optional activities will be available at some of the attractions you will visit. There are certain inherent risks in adventure travel. These include, but are not limited to, risks of walking safaris, horseback riding, camel safaris, hot air balloon flights, fishing trips, and in all safaris there are dangers of attack by wild animals, which could cause serious personal injury, inaccessibility to medical attention and difficulty in evacuation from remote locations in the case of medical emergency.
The passenger assumes all such risks with regard to these possibilities. You should be aware that, although precautions are taken by the suppliers to guard against such dangers, your safety cannot be guaranteed. Should you elect to participate in such activities while you are on your trip, or safari, you are of course free to do so. However, you must understand that such participation will be at your own risk; that Essenia Safari Experts Ltd has not made any representation regarding the safety of these activities, that you have released Essenia Safari Experts Ltd from all liability for these activities and that the company assumes no liability in regard to these optional activities.
Traveler’s Representations:
The traveler represents that neither he or she nor anyone traveling with him or her in their party has any Physical or Other Condition or Disability that would create A Hazard to Himself or Herself or Other Members of the Safari.
Air Transportation:
All scheduled and chartered local flights are occasionally subject to overbooking or cancellation. If this occurs, Essenia Safari Experts Ltd and/or its correspondent companies will do all in their power to assist clients in boarding flights or finding alternative arrangements. It must be stressed that this is done as a courtesy to clients and Essenia Safari Experts Ltd cannot be held responsible if a passenger is denied boarding, nor for the additional costs thus incurred.
Trip Cancellation Insurance:
Travel insurance with trip cancellation is recommended and should be purchased at the time of deposit. Baggage and personal effects are at the owner’s risk throughout the trip, tour or safari.
Payment of the tour cost constitutes acceptance of the Terms & Conditions set out herein and in more specific pre- departure passenger documentation including the Passenger Information Form.
